The aim of Document Management System (DMS) is to provide an efficient and powerful tool to organize and control access to all the documents (Company/college documents).

Following are the features which DMS provides.


Each document will be assigned a unique document number allowing users to easily reference documents – an essential ingredient for technical documents or ISO Quality Standards.

Document numbering schemes can be defined per folder, and can optionally span any number of folders.


As DMS provides unique numbering of documents its easy to search for a document using that number or the name of the documents. It also provides a fully indexed “look in document” search. This allows users to easily find documents based on either document content or document attributes.

Document Types

DMS provides support to store different types of file formats. It can store files types such as word processing documents, web pages, audio files, and plain text or Image files. It also provides folder facility. Folders – Documents can be grouped in folders and sub-folders to help organize the document library. Numbering schemes can be defined per folder type.


Versioning has become common where documents have to be continuously updated.DMS keeps all versions of the documents so one can quickly and easily revert to a previous version. Versions are labeled with a Major. Minor number scheme so users can refer to a specific version of a document. Each version can have associated comments to track what has changed between versions.

Access Control & Audit Control

DMS provides flexible, intelligent, powerful access control. Audit Control – A detailed audit history is kept for all accesses, moves and changes so one can see exactly who did what, from where, and when.

 Change Notification

Users can receive email notification when documents are submitted or changed. Notifications can be configured based on interest level in the document. Emails contain full status information and log entries so users can immediately see if they need to take any action. Email notifications are supported via any SMTP compliant mail server.


A user can checkout a document for edition. At this time the document will be locked so that nobody else can make changes until the edit operation is complete. But these documents can be viewed by others for reading purpose. The changes can be saved by check-in.
